Card data is entered into the secure payment provider environment, the statement descriptor is ART PERSONA, and approved refunds normally return to the original payment method.

1. Scope and purpose

This policy applies to payments for custom avatars, optional revisions and other digital products offered by Art Persona. It explains authorisation, settlement, verification, delivery linkage, refunds and disputes. The checkout summary and order confirmation identify the specific product, price and any package-specific condition.

The order identifier, provider reference, amount, currency and status are reconciled before production or a second payment request.

2. Nature of transactions

Each payment purchases a defined digital production service and the resulting licensed Output. It does not create a deposit account, electronic-money balance, investment, transferable token or cash-equivalent right. A payment is linked to one Order and may not be redirected to another customer without Art Persona’s written approval.

3. Accepted payment methods

Art Persona accepts Visa and Mastercard payment cards and any additional method displayed as available at checkout. Availability can depend on country, currency, risk controls and provider capability. A method shown during an earlier visit is not guaranteed for a later Order, and cash or cryptocurrency is not accepted unless expressly added to the checkout.

Support may request limited transaction evidence but never a full card number, security code, online-banking password or one-time code.

4. Billing currencies and pricing display

Prices and charges are presented in euros. The final checkout page shows the product, quantity, discount, tax and total before the pay action. If the customer’s account is denominated in another currency, the issuer or payment network performs conversion and may apply its own rate and fee.

5. Taxes and charges

Displayed consumer prices include value-added tax where required. A business customer must provide accurate tax information if a reverse-charge or other treatment is requested. Art Persona may correct tax treatment when legally necessary but will not add an undisclosed merchant fee after authorisation. Bank, card, conversion and connectivity charges remain the customer’s responsibility.

Full payment-card credentials are not intentionally retained by GromeFeet OÜ.

6. Authorisation and transaction completion

Submission of card details requests authorisation but does not itself guarantee acceptance. A transaction is complete for order-processing purposes when the payment provider confirms successful authorisation or capture and Art Persona issues an order confirmation. A later reversal, fraud alert or settlement failure may pause production or delivery.

Stage

What normally happens

Typical status

Key risk / control

Order review

Customer confirms package, inputs, price and currency

Basket / pending

Clear pay button and total before authorisation

Authentication

Issuer or provider verifies payer, including 3-D Secure where applicable

Authentication required / passed / failed

Strong customer authentication and fraud screening

Authorisation

Issuer reserves or approves the amount

Authorised / declined

No production on a decline or uncertain result

Capture and confirmation

Provider confirms the charge and Art Persona creates the Order

Paid / processing

Unique order and transaction references

Fulfilment

Production begins and Output is delivered electronically

In production / fulfilled

Delivery logs and verified channel

Adjustment

Refund, reversal or dispute changes the payment status

Refunded / reversed / disputed

Original-method refund and evidence preservation

7. Use of third-party payment providers

Payment-card information is collected through the secure payment environment presented at checkout. The provider processes authentication, tokenisation, authorisation, settlement and refunds under its own legal duties. GromeFeet OÜ receives transaction references and limited card metadata but does not intentionally store the full primary account number or security code.

Customers should verify the euro total, descriptor and billing details before authorisation and complete issuer authentication personally.

8. Security, verification and fraud controls

Checkout may use strong customer authentication, 3-D Secure, address or device checks, velocity limits, risk scoring and manual review. Art Persona may request proportionate confirmation that the payer authorised the Order and that depicted persons consented. Verification is not a promise that all fraud will be detected and does not transfer issuer responsibilities to GromeFeet OÜ.

9. User payment responsibilities

The payer must use a payment method they are authorised to use, provide accurate billing details, maintain sufficient funds and complete any issuer authentication. The customer should not refresh, resubmit or use multiple devices during an uncertain payment result without first checking the confirmation email or account, because this can create duplicate authorisation attempts.

A pending bank entry is distinguished from a captured charge, reversal, refund and chargeback before an outcome is communicated.

10. Declined, failed or reversed payments

A decline may result from issuer policy, authentication failure, incorrect details, limits, sanctions screening or provider risk controls. Art Persona cannot compel an issuer to approve payment. A failed Order is not produced until payment succeeds. If a previously successful payment is reversed, access may be suspended while the customer and provider clarify the status.

Issuer and card-scheme rights are not displaced by this policy.

11. Duplicate charges and technical errors

Potential duplicates are compared using amount, time, card metadata and Order references. A pending authorisation can appear beside a settled charge without being a true duplicate and usually expires under issuer rules. Confirmed duplicate settlement is corrected under the Refund Policy, while separate Orders placed intentionally remain payable.

The order identifier, provider reference, amount, currency and status are reconciled before production or a second payment request.

12. Unauthorised transactions and security reporting

A statement entry appears as ART PERSONA. Unrecognised activity should be reported promptly to info@art-persona.com and to the issuer. The customer must not send full card numbers or security codes by email. Art Persona may secure the account, stop delivery and share relevant evidence with the provider, acquirer, network or authorities where lawful.

13. Refunds and relationship to the Refund Policy

Refund eligibility is determined under the Refund Policy and mandatory law. Approved refunds return to the original payment method except where impossible or legally prohibited. A refund instruction is normally sent within five business days after approval; the issuer controls when the credit becomes visible. Refunded Output is subject to the licence consequences stated in the Refund Policy.

Support may request limited transaction evidence but never a full card number, security code, online-banking password or one-time code.

14. Chargebacks, retrievals and disputes

Before initiating a chargeback, the cardholder should give Art Persona a reasonable opportunity to investigate a resolvable issue. Retrieval or dispute requests may require Art Persona to provide the order confirmation, customer consent, production record, delivery logs, communications and refund history. Card-scheme rights remain available, but dishonest use of chargebacks can lead to service restriction and recovery action.

15. Timing of delivery and account crediting

Production normally begins after cleared payment and complete Customer Materials. The one-to-five-business-day delivery window is measured from the later of those events. A payment hold or manual review pauses the window. Digital fulfilment is complete when a working file or access link is made available to the verified delivery channel.

Full payment-card credentials are not intentionally retained by GromeFeet OÜ.

16. Payment records and audit trail

GromeFeet OÜ maintains order IDs, timestamps, amounts, currency, tax, payment status, provider references, limited card metadata, consent records, refund entries and delivery evidence. These records support accounting, customer service, fraud prevention and dispute response. Retention follows the Privacy Policy and statutory accounting periods.

17. Geographic and legal restrictions

Payments may be blocked from jurisdictions subject to sanctions, provider restrictions or elevated legal risk. Customers must not conceal location, payer identity or end use. Art Persona may refuse an Order where payment would breach law, network rules, intellectual-property rights or content-safety restrictions.

Customers should verify the euro total, descriptor and billing details before authorisation and complete issuer authentication personally.

18. Minors and payment authority

Only adults aged 18 or over may pay directly. A parent or guardian must control any Order involving a minor and must use an authorised payment method. Art Persona may cancel or refund an Order where credible evidence shows lack of payment authority, while preserving information needed to address fraud or safeguarding concerns.

19. Changes to prices, methods and rules

Art Persona may change future prices, available methods, package contents or verification rules. The price confirmed for a valid Order will not change unless the customer agrees to a scope change or an obvious error makes performance unreasonable and the Order is cancelled with a full refund. Promotional terms apply only for their stated period.

A pending bank entry is distinguished from a captured charge, reversal, refund and chargeback before an outcome is communicated.

20. Service interruptions and processor downtime

Provider outages can prevent authorisation, delay status updates or temporarily block refunds. Art Persona will not treat an unconfirmed payment as successful and will not ask the customer to send card details by email. Where a status is uncertain, support will reconcile provider records before production or retry instructions are issued.

Issuer and card-scheme rights are not displaced by this policy.

21. Contact and complaint route

Payment questions should be sent to info@art-persona.com with the order number, transaction date, amount and last four card digits where necessary. Art Persona aims to acknowledge within two business days and resolve ordinary payment issues within ten business days. Complex issuer, fraud or scheme disputes may require a longer evidence cycle.

The order identifier, provider reference, amount, currency and status are reconciled before production or a second payment request.

22. Updates

The current version is published on the website and applies to payments made after its effective date. Updates may reflect new providers, authentication standards, currencies or legal requirements. A change will not retrospectively convert a properly authorised one-off purchase into recurring billing; Art Persona does not operate automatic subscription renewal under this model.

Practical payment lifecycle overview

A normal transaction moves from checkout review to payer authentication, issuer authorisation, provider confirmation, production and electronic fulfilment. The customer should receive an order confirmation after successful payment. A pending banking entry without an order confirmation may be an authorisation hold rather than a settled charge; support reconciles provider records before asking the customer to pay again.

Good practice for users before submitting payment

• Confirm the selected avatar package, price in euros, tax and delivery email before pressing the payment button.

• Use only a card or method you are authorised to use and complete issuer authentication personally.

• Expect the descriptor ART PERSONA and tell authorised household users what was purchased to reduce confusion.

• Do not submit the same Order repeatedly after a slow response; check email and account status first.

• Never email full card details, a security code, online-banking credentials or one-time authentication codes.

• Contact Art Persona promptly about duplicate, reversed or unrecognised entries before a resolvable issue becomes a chargeback.

23. Governing law and mandatory rights

This Payment Policy is governed by Estonian law and applicable payment and consumer-protection rules. Consumers retain any mandatory rights and competent courts available in their country of residence. Card-scheme and issuer processes remain available, and no provision requires a cardholder to waive a valid statutory or scheme right.

Payment operations and reconciliation

Payment operations reconcile Order, provider and accounting records. Dashboard access uses strong authentication and least privilege, and staff never request full card data through email or chat. Dispute evidence is factual and limited to the relevant transaction, consent and fulfilment record. A change to descriptor, currency, provider or recurring-billing model requires coordinated updates to checkout, policies, support scripts and acquirer records before launch.

• Ownership and approval: The named operational owner confirms that the customer-facing rule, production workflow and support script describe the same outcome before publication.

• Change control: A material product, provider or checkout change is assessed for legal impact and deployed only after the affected wording, controls and training have been updated.

• Customer evidence: Staff rely on the minimum relevant Order, communication, delivery and payment evidence and do not request unrelated identity, image or card information.

• Exception handling: An unusual case is escalated to a competent reviewer rather than resolved through an undocumented promise that conflicts with the published terms or mandatory law.

• Quality assurance: Sample cases are tested from customer request through final outcome, including the status visible to support and the records needed to explain the decision.

• Access control: Systems and provider dashboards use role-based access, strong authentication and prompt removal of credentials when responsibilities change.

• Customer communication: Notices state what happened, what the customer must do, the expected next step and the available escalation route without overstating technical or legal certainty.

• Provider alignment: The configuration and contractual scope of each processor or platform are checked against the functions attributed to it in this policy.

• Incident response: A security, delivery, payment or rights incident is contained, documented and routed to privacy, consumer, payment or legal response procedures as applicable.

• Training: Personnel who operate the relevant workflow receive concise instructions, prohibited practices and escalation examples before handling live Orders.

• Monitoring: Material failure patterns, complaints and reversals are reviewed for root cause and corrective action rather than treated only as isolated customer-service cases.

• Retention discipline: Operational evidence is retained for the applicable legal or dispute period and then deleted or anonymised when no continuing purpose justifies it.

• Version integrity: The effective version accepted or presented for an Order can be identified, while the website clearly presents the current version for future transactions.

• Remediation: A confirmed control gap is corrected promptly, affected processing or fulfilment is paused where necessary, and impacted customers receive the remedy required by law.

Art Persona · Payment Policy · v1.0 · Effective 30 July 2026.
